Our communications, collaboration, and marketing protocols include the following.  See also collaboration for our members' manual on these items.  This is overseen by our director of collaborative technology

 


 

Windows Live Sync (Formerly Foldershare)

The following tasks are necessary:

1) On a weekly basis, it is necessary to inspect the foldershare file cabinet once a week and check for duplicated files or folders, excessive space utilization or any content that is not appropriate to be on foldershare (proprietary software, large files that can be easily obtained on the web). 

2) Maintain up-to-date the help files in SharedNyaya root directory and the FoldershareFAQ page. 

3) Once monthly backup to external harddrive; oversee who is overseeing this.

 

Wiki

Initial project for collab tech role will be the revision and reorganization of the wiki. Principal focus will be on sidebar items (publically viewed pages), with subsequent work for all pages on server. Should focus on internal consistency (facts, numbers, etc), linking of associated pages, and removal of pages out of date and/or no longer relevant.  Editing the content for readability and adding new material, while maintaining an open and transparent structure, is critical. 

 

Once a month, all the following tasks should be performed:

1) all new wiki pages should be examined and filed appropriately in folders or as links on the sidebar. 

2) new pages should also be inspected for proper formatting (e.g., use of table of contents) and content (e.g., no personal contact or grants information on the public page).  The Director of Collaborative Tech should discuss any issues regarding formatting/content with the writer of that content.

3) new tags should be added and any other steps should be taken to ensure indexing on major search engines 

 

The collab tech role also receives wiki@nyaya emails (https://wiki.nyayahealth.org/settings/about), which come thru the contact portal on the wiki.  This is a very low-traffic email address. 

 

Evernote

This is the format for our internal clinic manual.  This is managed by the Program Director in Achham.  Every two months, however, evernote should be checked for new capabilities, and the organization of our manual should be assessed to provide suggestions to the team as far as maximum utilization of its capabilities.  No changes should be made by the Director of Collaborative Tech, however, without first discussing with the Program Director.  

 

Blog

The collab tech director will received 3-4 blog posts a week from Achham in email format, and will need to edit and post them to the blog.  We should ensure that the following are posted to blog.nyayahealth.org; the numbers noted are a minimum:

  • "patient stories": 1-2/wk. The Achham team should be sending patient stories to team@nyaya regularly with the tag line [patient stories] in the header.  The communication director should ensure that at least one (preferably 2-3) patient story is being sent each week.   S/he is responsible for adapting those stories for content, style, lay person terminology to post on the blog.  S/he should follow these guidelines when posting: http://wiki.nyayahealth.org/BloggingGuidelines Preferably each patient story will have at least one picture.
  • "logistics and management": 1/wk; this includes clinic-based management as well as links/notes about relevant wiki pages; also sent by the Achham team.
  • "social justice and health": 1/month
  • "news": 2/month (these are the items that will get posted onto the home page, like major successes, publication of reports, new equipment, collaborations)
  • "clinic staff": as new staff come on. 

 

The comm director also makes sure that the quality of these posts and any corresponding comments conform to

BloggingGuidelines

S/he also reaches out to other blogs, sites, and members to increase traffic and readership, and makes changes to the layout to improve donations, subscribers, professionalism. 

 

The communications director will also send a monthly "Monthly Nyaya Health Blog Digest" to the team@nyayahealth.org list.  The digest should include the date of the blog entry, the title with the associated link, and a brief (1-2 line) synopsis.  See previous monthly blog digest emails as a template. 

 

Pictures

The Achham team should also be sending pictures regularly to the communications director.  The communication director is responsible for organizing all these pictures at http://picasaweb.google.com/nyayahealth and making particular albums available on our various sites.  Guidelines for taking pictures for the Achham team are in the evernote note "Interviews, stories, pictures, videos, patient cases" (since wiki does not load well in Achham).  

 

Pictures should be sent as .rar bundles on the server.  Pictures should be labeled and captions for each picture sent by Achham team to the communications director.  Individual pictures, when convenient (probably only rarely, given the internet connection in Achham) can be sent to team(AT)nyayahealth(DOT)org which posts automatically to the picassa site.

 

The pictures are then filed appropriately in the public albums, always with captions.  Additional pictures should remain unfiled; bad pictures should not be uploaded and should be deleted. 

 

For posting to blog, wiki, etc., you must link directly to our public picasa site.  To link the photo, go to the picture in picasa.  On the right-hand side, "select size...medium 400px"(or different size if you need larger/smaller; 400px is typical for blog posts) next to "embed image".  Then copy the text after img src=" , for example: http://lh6.ggpht.com/_Bv8ZoY8Lu24/SJBsxhYLZEI/AAAAAAAADNI/PyVJ3jSlmNU/s400/snb11975.jpg  and back in the blog, click "insert image" and paste this into the URL section.  Title the picture, select "center" justified.  For the link that folks go to upon clicking on the image, set it as: www.nyayahealth.org/donate_now . We want the pictures to link to the donate page rather than picassa.  While picassa is a public site for us, it is more of a storage area that we are not interested in people linking to since it is not very customizable and does not send people to donations page.

 

If you need to edit a picture, edit within picassa.  The way to do this is to select the picture, select "Edit...Edit in picassa".   Then edit the picture and be sure to re-upload by clicking on the "update online copy with this version".  If picassa editor is not sufficient, go to "File... "locate on disk".  This will open the containing local folder.  Then open this with your favority photo editor; a simple and low-MB free one is paint.net. 

Note that changes will propagate to the blog automatically but they typically will not do so for the wiki.  So you will need to re-save the link if you saved a picture on the wiki.

 

If you rename a photo, rename its gallery, or move the photo to another gallery, will change the link and previous links will not work.  Adding other pictures to the same gallery or editing the photo, however, will not change the link.

 

It is essential that you pay attention to the quality of pictures  that you post on the blog.  These are propogated to our homepage (other than patient stories category, since those often contain inappropriate pictures for the homepage).  As such, they should be high resolution, relevant to rural health delivery, and engaging. 

 

It is also worth creating screenshots of selected portions of the wiki, namely charts and graphs.  To do this in Windows, you can make an appropriately sized window of the chart or graph and click ALT+PrntScreen.  Then copy that to your paint.net or other program and resize to approximately 500-600 width.  Make sure the resolution is not degraded since this will be propagated to the homepage as well! 

 

Email-Based Marketing

For mass emailing (e.g. update letters, fundraising solicitation, blog updates, etc.), Nyaya has an account with MailChimp, which enables HTML emailing and contains all of Nyaya's email lists saved in the account.

Monitoring Marketing Success

Each of our main sites-- blog, website, and wiki-- should be monitored through google.com/analytics.  Occassionally, the java code for this will need to be updated to ensure proper tracking.  Adjustments to our strategy should be made according to the results of the analytics tracking.  The analytics results should be reported on a monthly basis to the team list. 

 

Additionally, the google grants advertising program, i.e., google.com/adwords should be monitored and updated. 

This program provides $10,000 per month in free advertising to Nyaya.  Optimizing this advertising requires significant oversight to ensure that the keywords are being best utilized.  Note that through this program Nyaya also receives free google checkout processing, which saves 2.2% on all funds processed online.  We have to keep our adwords account current to continue to benefit from this additional and significant savings.

Google Groups

We formerly had the two lists.  We no longer use google groups and rather manage through google apps spreadsheets.

This is the one that is joined by individuals from the website.  Members on this group receive our quarterly updates.

2) http://groups.google.com/group/nyayahealthcore/

This consists of any members who have volunteered with us.  We send these members both the updates and occasional solicitations for volunteer positions.
